Venue Coordinator vs Wedding Planners

A colleague of mine wrote this great blog post - really explains the difference between a Venue Coordinator and an Independent Coordinator like myself. I can't tell you how many potential brides end up saying - 'thanks but we are just going to use the venue coordinator.' Its not an apples to apples comparison: from Amber Events

Venue Coordinator vs. Independent Coordinator

Recently a potential bride with whom I felt that I clicked with emailed me to say basically: "thanks for your follow up, but we booked Venue X and they provide a wedding coordinator and so I don't need your services." I was sad for her because I really liked her and she has no way to know that the wedding coordinator promised to her is a venue coordinator, not a wedding coordinator. I'd like to explain the difference between the two.

A venue coordinator works for that venue. That is where their loyalties lie, and that is not a bad thing or a good thing, it just is. Their job is to sell the venue to brides, give out a list of preferred vendors, answer questions about the venue, assist with room layout and tasting, and make sure that your wedding follows the rules and regulations of the space. They may or may not help with the master Timeline of the wedding day and rarely do they help decorate or design for your reception. They do know what works and what doesn't in a space, so trust them if they say "that won't work!". Depending on how large the venue is, they may have four or more weddings they are juggling that weekend. On your wedding day, they may not even be the person you have been talking to all of these months, as it is a very challenging job and some venues tend to have high turnover.

Don't get me wrong, a venue coordinator's job is very, VERY important, but they are not your wedding coordinator. Neither is your DJ, a photographer, or florist. Yes, they all coordinate things that directly relate to them (a photographer will help with the Timeline as that affects pictures, etc), but they are not orchestrating every single detail of the event like an independent coordinator will.

As an independent wedding coordinator, our loyalty is to you, our client. Not your parents, photographer, videographer, DJ, florist or venue. An independent coordinator's job is to assess what level of service you need and to go above and beyond that. And to do it in a timely manner, with patience, and with a smile. Whether hired for "month of" coordination or full production, an independent coordinator will become the adviser and orchestrator of the entire production and how all of the vendors tie in together, as well as all of the millions of details that need to be dealt with. And this is just the logistical stuff. Then we have the emotions that come into play during the planning of a wedding. I'm not kidding when I say that half of what I do as a wedding coordinator is to act as a good old-fashioned shoulder to cry on! An independent coordinator will help you with wording of your invitations, encourage you to let your personality shine through, debate the pros and cons of the shades of Bashful vs. Blush roses, give you advice on sticky budget questions, advise you how to seat your divorced parents during the ceremony, remind you to hold your bouquet low as you walk down the aisle, and hug you goodnight at the end of the day.

A venue coordinator and an independent wedding coordinator are both extremely important as they each have a specific job that they are good at doing. A wedding with strong coordinators working hand in hand usually provides a seamless and stress free wedding day for all involved!

Can't afford a full service planner?

I got an email the other day from a couple that said they didn't really need a full service planner and they didn't think they could afford it but were wondering what options I had to offer them.

Wedding planners can offer suggestions for reputable wedding professionals; people or businesses that fit your style and budget and they even know some of the out of ordinary locations. A planner can work on your budget, create a timeline and suggest ways to get you started. 3-4 hours of planning in the beginning can get you on the right track and save you valuable time and potentially money.

Say you already have your dream venue in mind and you are certain you can decide on the other aspects of your wedding but you aren't sure how to pull the event together. IE: the guest list seating, the day of timeline and last minute logistics- consider a day of planner!

'There's No Place Like Home'

My cousin is getting married Labor Day weekend. She is planning to have her reception in her parents back yard. Since I have been helping them I thought you too would like to know the ins and outs of having an 'At Home' Wedding.

So here are some things you should think about and plan for:
-Do you want your ceremony and the reception at home? think of logistics and space before deciding.
-What does your backyard space look like? Do you have a large enough flat area for tables and a tent? do you need to use a side yard or inside space as well?
-Do you have adequate kitchen space or a garage the caterer can use to prepare the food?
-Think about the caterer you will hire - make sure they are experts and have worked home weddings before.
-Always rent a tent, you might need it to shield the rain or the bright sun - think of getting a clear tent so your guests can enjoy the stars as they dance the night away.
-Talk your rental company about tent placement and space layout - don't forget to tell them about underground sprinkler systems or other pipes and cables they should be worried about.
-What will you do about guests cars and parking? Think about offering valet service or offering a shuttle bus from the church or hotels.
-Do you want a band or a DJ? Check your areas noise ordinances and make sure to invite the neighbors!
-Are there easily accessible bathrooms? Make sure you have an attendant taking care of keeping them neat and stocked with guests towels and toilet paper.
-Consider having 'bathroom' signs made to hang from the doors and 'private' signs on the bedroom doors.
-Do have enough inside space in case of rain? What is your contingency plan? Make sure you have rented the sides for the tent and or have an alternative location on hold if you should need it. If you plan to have this sort of Plan B think about having a phone # guests can call day of to find out final location.
-Consider hiring a landscape consultant - you could plant flowers months in advance and this could save you money on cut flowers. Use potted plants. Take advantage of your homes environment.
-Definitely have a professional cleaning service come and clean before and after the wedding.
-Pack away nick nacks and other valuables(especially jewelry) but keep family photos out for more sentimental decor.
-Do use special family items for the wedding -special serving platters, vases and/or pitchers.
-Depending on the time of day you need to consider lighting. Definitely uplight the tent and use lots of candles.
-Bugs - Spray your yard with a bug deterrent weeks in advance (contact a landscaper) and put Off or Skin so soft sprays in the bathrooms for your guests to use.
-Consider your liability; contact your home insurance for a rider on your policy or www.wedsafe.com for some extra insurance.
-Hire plenty of help; you are going to need it.
And lastly even though this is your home don't forget a grand entrance and a send off. Some people forget this because its their home but guests need to know where to enter the home, like to see you introduced into the party and a grand send off announces the weddings end and they should go home.

Down the aisle

It was very important that this wedding start on time because there was a wedding immediately following. The Chapel at Lehigh University gives you 2 hours, one to set up and one for the ceremony. I like to start the mothers processional about 2 minutes before hand so the bride walks on time!

Here is a non professional picture of me getting Erika and her dad ready. Advice I tell all my brides - take a deep breath, maybe 2 of them, hold your bouquet low (close to your hip bone) and don't walk until Your music starts and the guests stand. Her veil was about 10 feet long so my assistant and I had her walking through the doors and still poofing!

Details

I am so excited for this weekends wedding - I always get excited the week before a wedding, especially if it is a full service client. I have been working with Erika and Matt for over a year. There are so many details and I am busy this week preparing.

It did get me thinking - most brides have no idea what goes into the last minute planning of their event. They don't know what is required until they have to do it. If they don't have a planner to guide them through this process it can be overwhelming.

For example I just faxed over a room layout to the country club - it shows table layout, what linen goes on what table (we have 4 different colors), what the table # is (we have pictures of the couple in front of the # around NY), how many people are at each table, the color of the lights around the room and what (out of 3) centerpiece goes on what table. It also shows where the string trio will play, where the band is to set up and where the Frank Sinatra impersonator will be.

I have also sent the same layout to the florist-Phoebe's and Eventions-the lighting company.

The good thing is Erika doesn't have to worry about this. I have it covered! Unfortunately some couples don't 'get' this until the week of their wedding.

Emergency Kit

So after Saturday's wedding I found a few more things to add to my emergency kit.

Disposable Razors....yes a bridesmaid needed it.
and
Nice Men's black dress socks.

and as a tip for all of you brides - spray your body with spray antiperspirant/deodorant - it is better then baby power and will help keep you from sweating in your gown.

I can't believe how many times I used my kit on Saturday. Some weddings I never open it, others I might as well be J Lo and have it tucked in my jacket - oh wait who am I kidding it would NEVER all fit.

If you don't have a wedding planner with an E kit then make sure you make up a little one of your own. Tampons, big safety pins, bobbie pins, hairspray, chalk, breath mints, tissues, deodorant and stain remover.

A Very Meaningful Ceremony

Sunday I was able to witness the most beautiful ceremony, very meaningful and full of love. It was my first Russian Orthodox Wedding. It took place at St. Nicholas in Washington, DC. There was no formal processional, the bride walked in the door with her dad and met the priest and her groom. At the back of the church they lit candles and exchanged rings onto the right hand. They then followed the priest up the center where they participated in the crown ceremony. The bridal party took turns holding the crowns over the couples head. Following tradition the guests stood on the sides and watched. This was so intimate and special.

Kim wore a beautiful Scarlett O'Hara inspired gown.


The intimate reception took place at Lightfoot Restaurant, Photography by Mandi (check out her blog for sneak pics), DJ by Erin and Flowers by Holly Chapple.

To the rescue!

Well I survived my weddings this past weekend - I will post details and pics later this week so check back!

I just wanted to mention something that happened and how a wedding planner can be very helpful on your wedding day. We are always ready...

I get a call Sunday around noon from a bridesmaid - they are short one bout for the brides stepfather. Can I help?

Of course!

I go buy a dozen roses, get my emergency kit out, cut, wire and make a beautiful white rose bout with the stems wrapped in ribbon.

Voila!

That is what we are there for - to handle last minute changes, mini crisises and or snaffos!

Friend or Professional?

So your not sure if you should hire a professional wedding planner or just ask a friend to help out at the reception.

Well it might depend on what you need help on, the days logistics and which friend.

If you are going to ask a gal pal, make sure she is organized and know that you might be keeping her from the party. But there could be some things that a friend could help out with:

If you are looking for someone to make sure you have everything to get ready, be there to help put the dress on, put your purse together and give the BM the rings(ie: a bridesmaid).
or
make sure the photographer has your must take photos list.
or maybe
set out your homemade centerpieces.

If you want someone to truly manage your day, work with your vendors, act on your behalf and make sure all your friends and family are having fun you need to consider hiring a professional. A professional will be your eyes and ears, be knowledgeable of what you want, be familiar with the wedding professionals you hired (and what the contracts say), help you make decisions and will know about timing issues that could affect food and catering.

If your day of planner is good he/she will start working with you about a month from the wedding. They will go over your plans, review contracts, make a timeline, contact all your wedding vendors, answer your unending last minute questions, talk you through your seating arrangements, your ceremony programs and your must play dance songs - all BEFORE the actual wedding.

They will coordinate the rehearsal, ceremony and of course be there on your big day to make sure all your plans are carried out. Remember they are working for you on your behalf, not the hotel or catering facility. Their #1 priority is making sure your day is wonderful and all issues are dealt with behind the scenes.

Coordinators fees range but remember you get what you pay for. The expenditure might seem like more then you want to pay but can you put a price on peace of mind? Let your friends or aunts enjoy themselves, party with you on the dance floor and leave the logistics to the professionals.

Just Hire a Wedding Planner!

You can Thank me later!

There are sooo many reasons that you should hire a planner or even just a Month out Coordinator. Every couple deserves the piece of mind that comes from knowing the smallest detail is being handled, crisis being adverted and memories being made. Now not all weddings will be perfect, in fact something always goes a little wrong, but wouldn't it be great to know you didn't have to leave the party, stop dancing or be on the phone on YOUR wedding day.

Now don't think that the catering manager at the hotel will be there and that they will do everything - Big misconception!! They are in charge of the food and beverage and of course they want your day to go smooth. They might even put out you escort cards and make sure you get food during pictures but they will NOT necessarily call all your vendors if you have to go to plan B or track down your song on a CD for your first dance, call back the limo driver for one more shuttle or even stay the whole night.

I read Life Design Events in Arizona and she posted a perfect example why everyone should have someone on their side coordinating their wedding or event. Mishaps can occur, she handled it perfectly!

Perfectly Stated

I was talking to my friend yesterday at the baseball game about my business. I was excited that I just booked another couple for May of 2008 and was telling her all about it. She is a very busy attorney and simply stated that of course everyone should hire a wedding planner. Who has the time? We talked about how people go to professionals for massages, for decorating advice, to get our car fixed and even legal advice so why not talk to someone who plans big parties for a living.

So many people want to do it themselves (which is fine if you have the time and energy) and so many others aren't sure where to start. So if you aren't sure if you should hire a wedding planner, at least call and talk to some, you might be surprised how affordable and easy it is to ask for guidance.
